Club Job Descriptions

(Please note that these Job Descriptions are currently being reviewed to provide more details and will be updated in the near future)

Activities: inquire about club member interests and investigate places or things that the members might be interested in seeing or attending. Organize tours etc. and coordinate with the Lions bus chair (Val Finch) about bus service to venues.

Casino:  organize volunteers for each position.

Flower Beds Group:  tends to and maintains the flower beds.

Hall Rentals: receives and reviews rental inquiries / checks calendar if dates and times are available / explains the rental costs and rules / gets Rental Agmt filled out and signed / collects rental cheque and damage deposit cheque / shows the building / opens and closes the building.

Kitchen: maintain a stock of kitchen items and consumable supplies. See that kitchen is run in a clean and sanitary way.

Membership: collect membership forms and fees and maintain a membership list. Invite seniors to visit our club and decide if membership interests them. 

Inside Maintenance: replace supplies and do minor repairs. 

Maintain cleaning and bathroom supplies.

Outside Maintenance: clear snow off pavement and walks, cut grass and maintain grounds. Also maintain equipment.       

Phoning / Cards: Member who sends get well cards, etc., and makes phone call notifications to members not on email.

Reporter:  posting club activities in publications

Please volunteer if you would like to help on any of the committees. For example, you could help the outside maintenance guys, Gerry and Peter, by keeping the sidewalks cleared of ice and snow. In the summer help by cutting grass with the gas trimmer and self-propelled lawn mower. You could also learn to run the bigger machines. Getting rid of gophers and pocket gophers (moles) would be a big help. Also trimming hedges, picking up tree cones.

Discuss project ideas with the Board.

We can probably improve the Club and increase participation by setting up horseshoe pitches, building some bird houses, etc.

Monthly Committee Duties

(Printouts are available for pickup in the Heritage Club Entry Hallway)

1.  Instant Hot Water Machine:  Turn on about half hour before serving.

2. Make tea, coffee, hot water and set out with food on the kitchen pass-through window counter.

No punch or juice.  In hot weather, it’s okay to make lemonade from powder.

3.  Set out cups, small plates, napkins, cream, sugar, stir sticks, etc.

4.  After lunch, gather dishes from the hall, put in the dishwasher trays, hand wash what can’t go in the dishwasher.

5.  Dishwasher:  Turn on about half hour before serving.   

Instructions are beside the dishwasher on the wall.

Get someone to run the dishwasher who is familiar with it. 

When the dishes are taken out of the dishwasher, let air dry as they are sanitized.

It only takes a few minutes for them to dry.

Do not towel dry the dishes as they will no longer be sanitized.

Once dry, put everything in their proper place.  All cupboards and drawers are labelled.

Do not stack cups more than 3 cups high as they can fall out and break.

6.  Turn off Instant Hot Water Machine / Dishwasher / Stove and Oven /

Coffee Pots (empty and rinse carafe and basket) / Standing Fan by stove /

Main microphone switch in the small wine room cabinet.

7.  Wipe down the tables in the hall / kitchen counters / sinks.

Wipe the stove top with clean cloth (never used for dishes) and ceramic cleaner. 

Wipe up any spills on the counters, cupboards and floors.

At the end of the month, give the microwave and the fridge a quick wipe.

8.  Sweep floors for crumbs including under the tables.

9.  Empty all kitchen and bathroom garbage into plastic garbage bags and put in the outside garbage receptacle.

10.  Do not leave the key in the cupboard locks.  Lock cupboard and return key to its proper place.

11.  Take tea towels and dishcloths home to wash and return to the kitchen.

12.  Any supplies that are getting low, add to the board on the fridge so that we don’t run out.

13.  Leave bathroom doors open and broom closet ajar especially in the winter.

14.  Check that the windows and doors are locked.

Close all blinds in kitchen, hall, sunroom, entry and office. 

15.  Shut off all the lights / ceiling fans / cold air blower.

16.  Lock up and set security.

17.  Monthly Potluck:  Repeat all of the above tasks plus more (see Club Calendar for date).

Monthly Potluck Duties

SET-UP

1. On the day before the Potluck, set up the hall with 8 chairs per round table, napkins, placemats, silverware, salt and pepper and table centrepieces if using.  Members always help.

2.  Two (2) long tables in front of the kitchen pass through, set with plates, hot pads, serving spoons.

3.  One (1) long table outside of wine room, have the coffee urn in place (with drip catcher) ready to plus in, cups, cream, sugar, stir sticks by the coffee urn.  Make tea and hot water. 

Desserts are placed on this table too.

4.  One (1) long table under adjacent east window, place glasses ready for punch.  Punch container will be on one end.

CHEQUES / DOOR PRIZES / ENTERTAINMENT

5.  Be sure a cheque is ready for the following (ie. ask for it on Tuesday or the week before):

a)  the dishwasher / clean-up person.

b)  Having entertainment is optional and whatever your committee decides (ie. a sing song, play games or cards, etc.).  You can pay up to $300 (3 or more people) or $100 to $150 (1 person). 

6. Door prizes, table centrepieces and fancy napkins are optional.  If you purchase these, keep your receipts and turn them in for reimbursement.  If table centrepieces are used as door prizes, no other centrepieces are needed.  A cost of no more than $5.00 per table is allowed. 

Some ideas are:  $5.00 Gift Cards (Tim Horton’s / McDonalds), Easter eggs, nuts and bars.

POTLUCK EVENT

7.  Arrive at the Club one hour ahead of time, turn on one oven to 350 C and second oven to 250 C.

Be sure you or someone has the key to open the Club.

8.  Instant Hot Water Machine:  Turn on about half hour before serving.

Make tea, coffee, hot water and punch.

9.  Have one of your committee take cash at the door.

10.  Take the food as members come in and if needed, put in the ovens. 

Place the salads and pickles on the table, buns in a basket and butter beside the buns.

11.  Do Not Remove covers from hot food until after Grace and the first table is called. 

12.  Arrange for someone to say “Grace”.

13.  Have something in place to call tables to dinner (ie. Playing Card on Table, then draw it / centrepiece song or flower).

14.  Have “Duck” out, read o Birthdays, Anniversaries and collect money. 

15.  After Dinner Entertainment

CLEAN-UP

15.  After dinner, all potluck dishes are left unwashed on the kitchen counter for people to take home.
